View Full Version : Managing emails for several domains – remote access

I have several websites with different email addresses connected. At present I use MS outlook to handle all of my emails and occasionaly use webmail for remote access. This allows me toreply to customers from the correct email address to avoid confusion with clients.

Want I need is a web based solution that allows me to access emails anywehere in the world (OK at work or home and the occasional holiday). I need a solution that allows to me to manage emails-

Save them in folders
Reply from more than 1 domain
Use automated signatures in emails
Basiaclly everything that MS outlook allows me to do

Can you recommend a solution? What do you use?

I am pretty sure that you can do all those things online in gmail. You can create labels (settings\labels) and sort mail into those just like folders. You can append a signature to all outgoing mail (settings\general) and you can send mail from other confirmed addresses (settings\accounts & import).

I've been investigating this solution for awhile but have not made the switch yet:

Like gmail, they are big on tags and filters, not so much on hierarchical nested folders for filing. If you want to try them out, they have a free option and you should be able to set-up forwarders so email center pro gets a copy of all incoming email so you can try it out.

It sounds like you could use Yahoo pipes and have osTicket as the central hub of your email.

I switched from ISP pop3 for several domains to gmail. I also transfered all my outlook mail I had in folders to gmail as well using IMAP4. Only needed it during the transfer. Takes quite a while if you have lots of emails but it is worth it. I never have email conflicts between different PC anymore.

The trick is to setup gmail for IMAP4 and connect Outlook to it. Then create the folder structure in Outlook and you will see how gmail makes labels. Once you have that sorted out you go into Outlook and select and drag your pop3 messages to your IMAP4 folders in Outlook. They will be synced to the gmail account. It can take a very long time. Couple of days for me and several thousand messages.

You can turn off IMAP4 once you have all your messages in gmail. Then outlook can go away. I had to do this before moving to Windows 7. They removed Internet Mail and outlook express from W7. I don't use Outlook 2007 myself. It's ok and has lots of features, but I needed webmail access when away from my computers. IMAP4 is very slow in PC based email. It ends up resyncing all folders every time it checks for new messages. You'll see what I mean if you go through this process.

This is not true. Gmail does not provide for this kind of functionality.
Pricing and Signup - Email Center Pro (http://www.emailcenterpro.com/pricing.php) Might work for some functionality, but their plans are stupid and expensive 10 mailboxes for $50 / month!?!?!? Who needs 10 gigs with 10 mailboxes, I need less than 1 gig with my 20 mailboxes. My solution is a laptop that has my outlook installed. I can take that most anywhere in the world too.

I use GMAIL to handle all my emails and it works great. The spam filters are awesome and I love having all my email in one place.

The problem I run into is that GMAIL limits you to 6 email addresses per account and I would love to have 50 or so

Any ideas here ??

This is not true. Gmail does not provide for this kind of functionality.

Gmail has custom send mail options that are free to set up, not sure if there is a limit on how many, but it is not mentioned and you can also use custom smtp server instead of gmails.

Yes, Gmail does all that but there's a problem. If you view the headers of the email that Gmail sent as "some other sender" then the FROM and SENDER fields have different values.

SENDER saying its your original account, FROM says its the "other" account.

And when such email comes to someone's Outlook, they see it as "sent by ORIGINAL@x.com on behalf of OTHER@y.com"

Not very professional eh?

The best solution would be that allows its users to use the nameservers of the account they are intending to send the mail from...

Am I making sense?! :P

Additionally, I've found Google's POPing to be problematic. Inbound okay; outbound, dicey.

I don't think Google Apps will work for you. I read in their FAQ specifically that if you have more than one domain, all emails will come from the primary domain, unless you create different accounts for each. That sounds like the exact opposite of what you want.

Using POP3 option in Google Apps, you can configure a single domain account to work with multiple other domain based email ids for sending and receiving emails.

Folders can be used to store inbox and outbox emails belonging to different domain based email ids.

Why not use PortableApps which enables you to carry your personal web environment,emails,bookmarks with you wherever you are.
PortableApps includes Thunderbird email which you can use for your different websites and simply copy the suite to a thumb drive or laptop and you've got everything with you. Make sure it is configured correctly for your different sites and set up your signatures
If you use Firefox browser it is included in the suite also.All your bookmarks etc will be with you wherever you go.
If you use a thumb drive it's as well to secure it with Truecrypt first,so if you lost it it doesn't matter.

I like Eudora, and have used it for over 9 years. You can have multiple personalities (x at a.com, m at c.com, g at k.com, etc.) and have sigs assigned to each one. It will use pop3 to pull emails from various domains/accounts, and you can have them automatically placed in separate in baskets, either by the email id that sent them or by the email id sent to.

Lots of other features to "manage" your email. Here is an usefull list

Mike, I have one email for business and one for my personal and use Gmail as my email client. I like it because I can receive, send and organize my emails and access my account from my desktop, laptop or phone and I don't need to "set anything up" once the Gmail account is set up.

However, if you really like Outlook I have a client that uses MailStreet for his email. It's Outlook on the cloud so you can set it up however you want and still login from anywhere. I haven't used it myself, but he's quite happy. There is a fee. Not sure what it is.

Gmail, Google Apps are are hosted email services. Outlook, Eudora etc. are email clients which are used to access / send / receive emails through these hosted email services.

I am writing this as I find some of the posts were not clear on this point.

I use Outlook (currently Outlook 2007) and simply set my account settings to IMAP instead of POP3. I have around 15 accounts on 5 domains and it works fine. You can set Outlook to push all your email into one Inbox or you can keep the messages coming to the inbox associated with the domain.

You choose which account and domain you want to send new messages from. If replying to a message, Outlook defaults to the same account where the message came in at. Messages are kept on the server so you can have your secretary check your messages while on the plane. If you or the secretary deletes a message it's gone from the server, but you can choose an option that prevents one or more clients from deleting messages. You can have different signatures for each account and Outlook will default to the correct signature for the account you are working.

As someone mentioned above, one disadvantage is that when using IMAP your client will need to resync with the servers when you open your client and depending on how many messages you leave on the server, this may take some time. For most people this should be less than a minute on a high speed connection, even as short as a few seconds. However, if you never delete or transfer messages from your inboxes, you may wait very long time. In otherwords, good housekeeping is key to keeping Outlook or other IMAP clients nimble.

Outllook is full featured but can be a bit unsteady, at least it was pretty unstable in version 2003 and earlier. 2007 is stable, but not perfect.

I just happened to have this isuue:
I have 2 domain accounts on my hosting, but I can not add another account from another hosting to my hosting..
do you know where the problem is?

Assuming that you have access to it, you need to enter the Registration account and change the Domain Server data to that of your host.
