Hi - I'm using Outlook for my mail and have just been informed by my system that I have exceeded the allowed limit on my mailbox.
I have divided my Inbox into various client folders and any email received regarding that client gets put into that folder. Now it looks like it's real filing time. I'll have to clear those mailboxes out. Some have graphic attachments to those emails which I would ideally like to keep with that particular email because often a client will come back and refer to that old email. If I choose to save the email to a client folder on the hard drive - it ends up as a text file and then it's hard to take a look through old stuff - plus the attachment gets saved separately. Also the date I save the email as a text file ends up as the date I see in my filing - so it's difficult to look back at an old email with a particular date. Has anyone got any ideas/suggestions for filing emails? Ta!

This will work for Outlook (not outlook express) without an exchange server.
On the tools menu goto file>import export>export to a file>personal file folder (.pst). Then select the folders that you want to export to a new file. Exporting will clear the emails from your main mail file (.pst) and put them in a new pst file. To access the exported file goto file>open>personal file folder and find the exported file. |

So if I did a separate .pst for each client file, then I could simply open them whenever I needed them? It doesn't reimport them back in does it?

You are correct. It will not re-import them and you could open them whenever you like. Just be aware of your file sizes. If an outlook pst file reaches 2gb you will not be able to access the file without losing 20mb of randomly selected emails.

Ooo, better get on with it right away! I wouldn't want to lose all those emails and anyway, during this break I need to do some housekeeping while I can!
